Executive Assistant

Overview

Accelity, a Milwaukee-based sales and marketing agency, is in search of a full-time Executive Assistant to help with daily administrative tasks and leadership team support. This person will also function as an assistant to the owner from time to time.

The Job

Duties Include

  • Assisting hiring managers with the hiring process (administrative tasks, scheduling and phone screening)
  • Assisting with new employee onboarding
  • Scheduling travel/accommodations for conferences and other business travel
  • Billing and invoicing for clients and freelancers
  • Payroll management
  • Benefits management, including IRA, insurance, etc.
  • Managing business expenses, business tax information, and monthly financial reporting
  • Managing and overseeing building maintenance requests
  • Updating internal documentation
  • Vendor and subscription management (examples: internet provider; Microsoft office)
  • Managing the owner’s LinkedIn; specifically, posting on LinkedIn, reporting to owner and sales team on prospects from LinkedIn, accepting relevant connections, etc.
  • Other tasks and projects to be determined

Qualifications

Requirements Include:

  • 1+ year of experience as an admin or executive assistant
  • Being a motivated self-starter with a positive attitude
  • Ability to work full time, with occasional evening or weekend tasks
  • Excellent communication skills, written and otherwise
  • Strong attention to detail and organizational skills
  • Ability to manage/prioritize multiple essential projects at once
  • Hyper-professional demeanor and ability to responsibly handle discreet company information

  • Experience with LinkedIn
  • Experience in Harvest or other similar billing/time tracking system
  • Experience with HubSpot or similar marketing automation platform
  • Experience with Trello or similar project management system
  • Experience with the Google Suite
  • Degree in business or related field
